SARS has recently updated the procedure for adding a company to your profile. In the past, adding a company to your eFiling profile, whether as an Organisation or a Tax Practitioner, was straightforward. Now, to add a company to your profile, you need to add a registered representative (in their capacity as treasurer, curator, liquidator, executor, administrator (estates), main partner, main trustee, public officer, main member, parent/guardian, accounting officer). This requires submitting a request to SARS along with several documents. Here's a step-by-step guide on how to do this:

Required Documents

When submitting a request to add a registered representative, you will need the following:

  1. A recent photo of yourself, taken on the day of the request, clearly showing you holding your ID document and a note that reads "Update my details."

  2. A copy of your valid ID, driver's license, passport, temporary identity document, or asylum seeker's certificate/permit, along with the original document (if visiting a SARS office).

  3. Proof of residential address, not older than 3 months.

  4. Letter of Appointment in your capacity as a representative, signed by the authorised representatives of the relevant body (e.g., Board resolution for a company, letter of authority for a trust, POA completed by the Accounting Officer for Government Institutions, etc.).

  5. Notice of Incorporation of the entity you are representing (e.g., CM1/CoR14.1 for a company).

  6. Trust Deed, if representing a trust.

  7. Certified copy of the taxpayer's ID, if representing an individual.

  8. Partnership/Joint Venture Agreement, if representing a partnership or joint venture. These documents must be uploaded with your request either on your company's eFiling profile or on the SARS website.

Important Note

The request for appointing a registered representative can take up to 21 business days for SARS to process. We therefore advise that you submit your request to be added as your company’s registered representative as soon as possible, especially if you have an upcoming tax return deadline.

Steps to Lodge the Request on the SARS Website

  1. Visit the SARS Website and click "Contact Us" in the top ribbon.

  2. Select "Register a Representative".

  3. A form will open. Choose your capacity in the company, enter your and the company's details, upload the required documents, and click "Submit".

Steps to Lodge the Request on eFiling

  1. Log into your eFiling profile on the SARS eFiling website.

  2. Choose the company from the "Taxpayer" list in the top ribbon and click "Organisations".

  3. Scroll down on the left, click "SARS Registered Details" and select "Activate Registered Representative".

  4. Read the descriptions listed by SARS explaining your responsibilities, scroll down, and click "Activate Registered Representative".

  5. If this is your first request, you might see a message saying, "No records Found". Just click on "Activate Registered Representative".

  6. On the next page, verify that SARS has your correct ID number, name, surname, the company's correct registration number, and company name, then click "I agree" and "Continue".

  7. SARS will list the access you have to the company's eFiling profile. Review the details and click "Activate Registered Representative".

  8. Your request will be linked to a case number on SARS's internal systems. You will need to upload the required documents.

  9. Once you have uploaded all the documents, click "Submit to SARS".

After Submission

Once all required documents are uploaded and submitted SARS will send you an acknowledgment of receipt via SMS and email. If it takes longer than 21 business days, we advise querying any delays with SARS should you not receive any confirmation or correspondence from SARS indicating that the registered representative has successfully been appointed.
